Initial Setup:
- Make sure User Menu templates have the appropriate ProfitPace Reports assigned.
- Update default report views (or create new report view) in the order you would like to see data, and using the terminology you would like to see
- Corporate Level > ProfitPace > Customize Reports (See ProfitPace Customize Reports for instructions)
2-3x a Week:
- Monitor Check. Checking the monitor, using the filter "....Imported Today" allows you to see today's imported records and address any gaps or missing data right away. You would be looking for gaps in the records (blank spaces). Any Zero's on the Monitor indicate that there was no new data to report. See more information on the Monitor in Understanding and Using the Import Monitor.
- Corporate Level > Accounting > Import Monitor > Sales Pace Rooms > Sales Pace Room Records Imported Today
- Corporate Level > Accounting > Import Monitor >Sales Pace Events > Sales Pace Event Records Imported Today
- Corporate Level > Accounting > Import Monitor >Sales Pace Actions > Sales Pace Actions Records Imported Today
- Corporate Level > Accounting > Import Monitor >Sales Pace Transient > Sales Pace Transient Records Imported Today
Weekly:
- Email Trace Call Detail Report for SalesPro properties to (client name)@profitsage.net. These files must follow a specific formatting sequence, include no more than one month's worth of data, and be sent no later than the 14th of the following month.
- Email Solicitation Activities report for CI/TY properties to (clientname)@profitsage.net. These files must follow a specific formatting sequence, include no more than one month's worth of data, and be sent no later than the 14th of the following month.
- Input Attrition/Cancellation that has been collected, or any necessary Rooms/Banquet/Catering Revenue Adjustments.
- Property Level > ProfitPace > Input Attrition/Cxl/Adjustments. More information on entering this information is included in Input Attrition, Cancellation, Manual Adjustments. Note: You must have Attrition/Cxl activated by the ProfitSword Team in order for this field to populate on your Productivity Reports.
Monthly:
- Check to make sure all applicable market segments and solicitation types are mapped. When mapping market segments, map any segments that you have reviewed and don’t want to map as “NA”.
- Property Level > ProfitPace > Map Market Segments. More information on Mapping Market Segments can be found in Map Market Segments in ProfitPace
- This can also be done from the Corporate Level > ProfitPace > Map Market Segments
- Property Level > ProfitPace > Map Solicitation Types. For more information on Solicitation Types, see ticket Mapping Solicitation Types in ProfitPace.
- Activate active Sales Managers and set up Goals
- Property Level > ProfitPace > Input Goals. Additional information on Input Goals, Activating Salespersons, etc can be found in Inputting Goals in ProfitPace
General:
- Any changes to a property’s PMS system or sales system needs to be communicated as soon as possible to avoid any data gaps.
- For Delphi.FDC properties, if the Salesforce credentials or password is changed, it also needs to be communicated as soon as possible to avoid any data gaps. This includes password changes.
- When a property has transitioned to a new sales system, the “Sales Manager Admin” screen can be used to merge duplicate sales managers and to inactivate sales managers. To see how to merge duplicate sales managers, please reference Sales Manager Admin - Merging Sales Managers
- For Sales Pro Properties, once a group is in-house, it is essential to enter Rooms and Revenue into Actual/Pick-up to ensure that ProfitPace can import the accurate information into "-Sales" lines of ProfitPace Reporting.
