Can reports or audit packets be automatically emailed and uploaded from PMS/POS to ProfitSword?
Direct uploads from PMS and POS are not currently supported. However, if the PMS or POS allows for scheduled email delivery, those reports can be directed to the property's designated mailbox for ingestion.
If a property uses PEP or FOSSE, they have the ability to email NA documents and they will be uploaded to the correct folders within PS so that the property team does not have to drag and drop files manually into PS?
No, Night auditors only have to download files to their computers if the file the hotel wants in the packet cannot be emailed.
If the file can be emailed it will appear in the unassigned files section of the day for the property and the auditor simply drags the unassigned emailed file over in the UI to the appropriate section on the right.
Access & User Permissions
Will all night audit team members need specific access to upload files?
Yes. ProfitSword Admins can designate which users have access to the Night Audit module. If team members are expected to complete a Night Audit packet—including uploading reports and submitting fields—they must have access to the Night Audit pages within ProfitSword.
Do international customers have access to Digital Night Audit?
Any customer using the Premier bundle is eligible for Night Audit, regardless of region. If access is not visible, please check with your ProfitSword Admin or Account Manager.
Approvals & Workflow
Can we assign multiple night audit approvers?
Yes, multiple approvers can be assigned to a Night Audit packet.
Can specific managers be required to sign and review packets?
Yes, approval workflows can be configured to require specific managers to review and sign packets. These roles are assigned through ProfitSword’s Role and Menu Template configuration.
Is there multi-level approval routing (e.g., DOF then GM)?
Yes. Approval steps can be sequenced according to ProfitSword roles—for example, first approval by the Director of Finance, followed by the General Manager.
Can sign-off be configured per report, or is it universal for all reports in the packet?
Yes, different reports within a packet can be configured with different approvers.
Can we have more than three approvers, and can they each be assigned specific reports only?
Currently, up to three approval steps are supported. Expanding this to more approvers is on the product roadmap.
Report Handling & Visibility
Can reports be stored in Night Audit without requiring approval?
Yes. Reports that do not include an approval step can still be uploaded and stored within
the packet. However, Night Audit is not designed to be a general-purpose cloud storage
tool—only reports associated with a Night Audit packet will be retained.
Are we able to upload daily cash reports and deposits?
Yes, if these are included in your Night Audit packet. Files must be in digital format and
can be either uploaded manually or sent via email.
Is there a way to see which required reports are missing?
While there isn’t a centralized dashboard highlighting specific missing reports, users can
view individual packets to see which reports are incomplete.
Does the compliance dashboard show which reports are missing or just the status?
The compliance dashboard shows overall packet statuses (e.g., started, submitted,
approved), but not which specific reports are missing. On the Night Audit page, there is a
column that indicates the number of reports submitted vs. total expected.
Can we search for a specific report across a date range?
Currently, reports can be searched by name within the Documents page, but date-range
filtering is not supported.
When viewing or approving reports, do they open in ProfitSword or can it be
downloaded to your computer?
Reports are downloaded to your computer for viewing.
Is deleted report data saved in history?
No, deleted report data is not currently archived or saved.
Are reports automatically deleted after seven years, or must they be deleted manually?
This is currently under review as part of our long-term data retention planning.
File Management
How large can uploaded files be? Does this depend on the property’s storage capacity?
Exact size limits are still being assessed. Upload capacity is not determined by the
individual property’s storage but rather by ProfitSword system capabilities.
What’s the difference between multifile and group?
Multifile fields allow multiple files to be uploaded to a single input. Groups are used to
organize fields into collapsible sections on the Night Audit screen for easier navigation.
Can a property have multiple Night Audit packets (e.g., Revenue Manager Packet, Tax
Exempt Packet)?
Yes. Multiple packets can be created for a single site, including more than one packet per
day, as long as they are not duplicates of the same packet type.
Bundles & Pricing
Is there an extra charge for the Digital Night Audit if you are on ProfitSword’s Premier or
Plus bundle?
No. Digital Night Audit is included in Premier and Plus with no additional cost.
What is the cost of Digital Night Audit for customers not on Premier or Plus?
Please reach out to your customer success manager on pricing to upgrade to our Premier
bundle.
System Use & Training
Does ProfitSword replace our PMS for Night Audit processes?
No. Your PMS is still required to complete the Night Audit process. ProfitSword provides a
centralized and digital repository for organizing, reviewing, and storing the audit packet.
Can we upload reports from systems other than our PMS?
Yes. You may upload any file type to your Night Audit packet. The reports do not need to
originate from your PMS.
Does Digital Night Audit validate actions such as posting cash or uploading Tax
Exempts in ProfitSword?
No. The Night Audit module does not validate or exchange data with other ProfitSword
systems. It serves only as a digital archive for the uploaded packet contents.
Implementation & Support
What level of effort is required to implement Digital Night Audit?
Setup is performed by the customer’s PS Admin. Our team is available to assist and
provide guidance. Implementation effort will depend on the complexity of your workflow
and clarity around your approval process.
What is the typical onboarding timeline?
Initial setup, including multifactor authentication and workflow configuration, typically
takes 1–3 weeks. This timeline may vary based on the customer’s internal
decision-making around packet contents and approval structure.
