What is ProfitAbility?
A: ProfitAbility (PA) is Actabl's data visualization platform, built on a popular third-party BI program. Currently, it is only connected to ProfitSword's (PS) data and serves as the sole interface within ProfitAbility.
Note: Data must first exist in ProfitSword to be pulled into ProfitAbility. This data must also have a tag or GL account.
Is ProfitAbility a report tool or report writer?
A: ProfitAbility is not designed as a custom reporting tool or report writer. For custom reporting, we use other company applications, such as API calls based on bundles.
Is ProfitAbility a live system?
A: No, ProfitAbility is not a live system. Currently, it syncs with ProfitSword once a day. The synchronization time is shown at the top of the dashboard, based on your system's date and time.
How do I add a new user in ProfitAbility
A:
- Ensure the user is set up in ProfitSword and that ProfitAbility is active under their User Menu Template.
- Open a Support ticket with the user's email address and the list of dashboards you want them to access.
- Once the user receives their activation email, they will be able to view all available dashboards for the sites they have access to.
Do users have the same access in ProfitAbility as they have in ProfitSword?
A: Yes, regarding site access, Profitability cannot filter which accounts a user can access. Most importantly, for Labor, if a user cannot view labor in ProfitSword, they will still be able to see labor information if given access to dashboards with Labor.
Can I export the information in a dashboard or widget?
A: Yes, you can export an individual widget or a full dashboard.
- To export a single widget, click the three dots in the upper right corner, select Download, and choose either Image or CSV. Additionally, Pivot tables can be exported to Excel.
- To download the entire dashboard, click the PDF button at the top of the page. Adjust the paper size when exporting to PDF to ensure the widgets fit on the page. Typically, A3 or A2 work best.

Can I set up a dashboard to email automatically?
A: Yes, you can, but it works best with non-standard dashboards, If you want a dashboard emailed regularly, please open a Support ticket and specify which dashboard, the frequency, and the recipients.
This method is most effective for non-standard dashboards as it follows the filters set on the dashboard, making it ideal for full corporate-level dashboards.
Best Practice: For multiple users receiving the emailed report, we recommend using a distribution or auto-forward email account to manage and control who can view the report.
Can we use a custom dataset from ProfitSword in ProfitAbility?
A: Yes, datasets used in ProfitSword can be brought over into ProfitAbility. During the implementation of ProfitAbility, we only set up the standard datasets. If you add or change datasets and want them included in a ProfitAbility dashboard, please open a ticket, and we will add them for you.
Why is the data showing as #NA or incorrectly in a dashboard/widget?
A: There could be several reasons for this. The most common reason is that ProfitAbility syncs with ProfitSword once per day. If there are changes made to your Primary Forecast or other datasets, it could result in discrepancies in ProfitAbility.
- Daily Updates: In most cases, forecasts update with actuals daily. If they don't, we may use the actuals dataset. In this scenario, if you try to view a report displaying actuals for the day, the data will show as #NA until the system syncs for the previous day.
- Filters: Another reason could be the filters you have selected, such as the wrong time frame for the type of dashboard you are generating (dashboards will use either data tables or month/period tables).
