The Hook:
- Use this workflow to generate data files for weekly or monthly submission to Smith Travel Research (STR).
- ProfitSage can generate a formatted file for direct submission to STR. Users can choose to export data for individual properties or all properties simultaneously.
Prerequisites:
- • Permissions: Requires access to the Accounting menu > Imports-Exports.
- • Initial Setup: If this is the first time utilizing this functionality, you must contact ProfitSword Support to ensure the export parameters are properly configured for your site.
The Steps:
Phase 1: Configuring Export Parameters:
- Navigate to the Accounting menu and select Imports-Exports > Export STR Data.
- Click the Options icon to open the parameters menu.
- Set the Type to Daily (for Weekly reports) or Monthly.
- Set the Time Period (e.g., 1 week, MTD, 1 Month).
- Select the specific Date:
- Weekly STR: Select the Saturday date (the last day of the reporting week).
- Monthly STR: Select any date within the specific month you wish to export.
- Select the View Type to define the data scope (e.g., Rooms, Rooms and F&B).
- Select the Offset Calendar (Standard or Local).
- Click the Green Check Mark to save these parameters.
Phase 2: Generating the File:
- Select the export scope:
- Individual Hotel: Click the Export button to the left of the specific hotel name.
- All Hotels: Click the Export All button at the top right of the screen.
- Click the Green Check Mark on the confirmation prompt to proceed.
- When the "Export Completed" message appears, Save or Open the file as prompted by your browser.
The Result:
- Success: A file formatted for STR submission is downloaded to your local device.
Troubleshooting:
- Missing Data/Errors: If the export produces an empty file or errors, ensure the Date selected in Phase 1 matches the required logic (Saturday for weekly exports).
- First Time Use: If the export fails on the first attempt, verify with ProfitSword Support that the backend mapping for the STR interface is active.
