The Hook: Use this workflow to record physical cash drops and credit card settlements to track over/short variances against the PMS postings.
Prerequisites:
- Cashiers must be set up in the Accounting Admin menu.
- Daily Income Journal import must be complete.
The Steps:
- Navigate to Daily > Input Cash.
- Locate the row for the specific Cashier or Department (e.g., Front Desk).
- Enter the amount of cast from your PMS Reports in the Cash Posted column.
- Enter the actual amount physically dropped in the safe in the Cash Dropped column.
- If there is an over/short, enter the reason under the Explanation column.
- Click Save.
- Navigate to Daily > Input Credit Card.
- Enter the Submitted Amount (the amount sent to the processor) for each card type (Visa, Amex, etc.).
- (Optional) Enter the Bank Deposit amount if your company tracks merchant settlements separately.
- Explanation column is for documenting reasons for over/shortages, the processed batch number, or the initials of the data entry individual.
- Click Save.
The Result Validation:
- Success: The Over/Short column calculates the variance between the PMS "Posted" amount and your entered "Dropped/Submitted" amount.
