The Context:
This reference outlines the purpose and functionality of the various Daily Income Journal (IJ) reports available to monitor a property's financials, track cash and credit card activity, and audit manual adjustments or taxes.
The Data:
| Report Name | Purpose & Function |
| Daily Overview Report | Provides a daily snapshot of financials and stats (e.g., rooms sold, occupancy, ADR, F&B stats). Tracks out-of-balance amounts for cash and credit cards, and features hyperlinks directly to specific screens like cash deposit or tax-exempt logs. |
| Credit Card Report | Provides an overview of daily credit card activity by card type. Calculates variances between daily activity (mapped directly from the IJ), amounts submitted, and bank deposits to identify missing or "hung up" payments. |
| Manual Adjustments Report | Displays manual adjustments made to accounts for a specific day or period. Used to identify potential fraud (e.g., employees adjusting credit to themselves) and track operational impacts. |
| Commissions Report | Estimates credit card commissions owed by applying a set percentage to posted PMS payments. Helps accounting teams accrue the correct expense amount for the following month's bill instead of manually counting payments. |
| Cash Posted Report | Displays cash posted from the PMS/POS versus cash dropped by the cashier to identify variances. Helps ensure cash types are mapped and posted correctly. |
| Over and Short Report | Displays cashiers who are over or short based on the daily cash deposit versus the cash posted. Cashiers only populate this report if a variance occurs, and drop off the report once the variance is corrected or the month changes. |
| Tax Exempt Report | Provides a detailed log of tax-exempt entries for a day or period, broken down by tax account and exempt type. Can be exported to prove tax exemptions during state audits. |
| Tax Report | Displays gross revenue, exempt revenue, net revenue, and estimated versus actual tax collected. Helps quickly identify missing tax amounts and corresponding un-taxed revenue, drastically reducing the time needed for monthly tax filing. |
Limits & Best Practices
- Customization Constraints: The Daily Overview Report shell is standard and not customizable; columns cannot be hidden even if they are not in use.
- Locking Adjustments: On the Manual Adjustments Report, adjustments are locked once a day has been submitted/exported or if the overall period has been closed. Always use the comment area when making manual adjustments for future troubleshooting.
- Data Duplication: Manual adjustments can cause data duplication if a file is later imported for a day that was already manually adjusted.
- Cashier Configuration Requirements: For the Cash Posted Report to balance correctly, cashiers must be assigned to the correct cashier types (e.g., front desk, spa, restaurant), and the cash must be properly mapped in the Tax and Cash Settings. The cash posted amount must match the PMS cash amount exactly to prevent out-of-balance errors.
- Security Protections: As a security measure to prevent cyber risks, employee names are not imported with labor reports for cashiers. Best practice is to leave the employee ID blank when setting up a new cashier so the system generates a random, protected ID
