Connecting and using the Profitwizard Database requires some Excel knowledge. The following is a list of items you must be experienced with in order to use the Profitwizard database:
- Basic and Advanced Formulas (Vlookups, Hlookups, if/then/else statements)
- Pivot tables
- Data Arrays
- Formatting (i.e: Conditional)
- Excel macros (Helpful)
- Sorting
- Data Validation
- Chart of Accounts
Step 1:
In order to connect to ProfitWizard you must first have an internet connection. Open up Microsoft Excel version 2007 or higher and select the Data tab. Then choose the option called "From Other Sources". In the drop down list choose "From Analysis Services".
OR
If your have an Excel Version that is 2010 or higher, select the Data Tab, Then Select "Get Data" >> "From Database" >> "From Analysis Services".
Step 2:
A data connection wizard will pop up next. You will enter the URL assigned by ProfitSword in the Server name box:
- Please ask your Client Services Representative for the URL if needed.
Then choose to enter a user name and password option and enter the credentials assigned to you by ProfitSage. When finished with the credentials, click "next"
Step 3:
If you connect successfully then you will be asked to choose one of the available cubes. The Daily Summary cube contains day by day data. The Period Summary cube contains only month end totals.
You will need to choose one or the other to start your first connection. Once complete we will return to Step 1 after we finish the first connection to connect the second cube. *As a best practice users should always connect to both the Day Summary and Period Summary cubes/tables.
Step 4:
After selecting the cube, you must tell the Connection Wizard to remember your login credentials by putting a check mark in the box shown below. Once done select yes in the next text box. It is very important to check the Save password in file or you will have to enter the password each time you access the report.
When you click the "Save password in file" you will receive a message in a pop up window. Please select "Yes" to acknowledge.
Best Practice:
A best practice when establishing the connection is to give it a short but unique friendly name. This name becomes important when working in excel formulas and even more important if you plan to share the report with someone else who will want to establish a connection and use your report. It is also a best practice for everyone to try use the same friendly URL, this way they will be able to trade Excel Formula based reports and instantly update without having to connect the report to their connection files manually.
Once done then click finish.
You can now use the data from the cube you created a connection for. If you would like to create a connection to another cube, you can click "Only Create Connection" and Ok to start the process from the beginning.
