The Hook: Use this process to schedule reports to be automatically emailed to specific users or distribution lists on a recurring basis.
Prerequisites:
• Requires access to Email Admin under the Corporate Admin menu,.
• Reports must be set up as "Emailable" before they can be added to a distribution list.
The Steps:
- Navigate to Admin > Administrative Tools > Email Admin.
- Click the Add (+) icon to create a new email distribution job.
- Enter a Description (e.g., "Daily Flash Report Distribution").
- Enter the Addresses of recipients, separated only by commas (no spaces).
- Enter the BCC Addresses of recipients, separate only by commas (no spaces). To use the BCC Addresses, there must be at least 1 email addresses within the Addresses column.
- Enter a Subject and Body for the email.
- Select the Print To format (e.g., PDF, Excel, or Body of Email).
Click the Save icon.
- Click the List icon next to the new job to assign reports.
- Click Add (+)
- Click the Edit icon under the Report Column to select the report to attach.
- Fill in the Title Column with the name of the Report.
- Click Save.
- Click the Edit icon under the Parameters Column to set the parameters of the report.
Click Save.
The Result Validation:
- Success: You can test the distribution by clicking the Send (envelope) icon next to the job; recipients should receive the email shortly,.
Troubleshooting:
- Note: There is a maximum of 50 reports per email job. If you exceed this, the email will time out and fail to send.
- Note: Do not use semicolons (;) to separate email addresses; use commas only.
- Note: The Report View must be saved before the Parameters can be accessed, if save is not selected first, then user will receive an error message.
